We are seeking an Interim Office Manager who has the passion to use their experience, skills and positive attitude to support the school's operational functions that ensure a school-wide culture of student retention, customer care and respect in line with the school's mission and vision.
DETAILED JOB DESCRIPTION
In conjunction with the principal and administrative staff, the Interim Office Manager will lead, manage and support the non-instructional functions, services, and staff, so that the instructional team can maintain a concentrated focus on teaching and student achievement and maximize instructional time. The Interim Office Manager will ensure that the school operates with excellence and fiscal prudence. The Interim Office Manager partners with the larger school leadership team and is supported by existing administrative staff to develop a school-wide culture of student retention, customer care and respect in line with the school's mission and vision.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Compliance Functions:
- Maintain, capture and organize key school data with reliability for the creation and completion of various compliance reports (attendance, enrollment, staffing, etc.)
- Ensure that all fire, life, and safety regulations and procedures are implemented.
- Assist the Principal in the teacher-in-charge function and assume administrative responsibilities if an administrator is out of the school.
Operational Functions:
- In conjunction with administrative staff, maintain and secure site level procurement of supplies, materials, equipment and inventory management.
- In conjunction with administrative and third-party service contracts, oversee transportation, food services and lunch program, facilities maintenance and security to ensure ongoing monitoring and implementation of services.
- Coordinate technology implementation (planning, procurement, and training).
- Work with school personnel to maintain integrity and accuracy of student records, including maintenance and tracking of attendance and retention.
- Work with school staff to manage reporting and data tracking for all special education programs.
- Prepare reports on site operations and as requested by the Principal.
- Respond and resolve routine internal and external inquiries with parents, employees and school organizations.
Financial Administration Functions:
- Support the Principal in the management of the annual designated budget categories to ensure the school meets its financial goals.
- Monitor site level budget, with input into budget development.
- Review monthly financial reports and ensure monthly expenses are based on approved budget categories.
Human Resource Management Functions:
- Manage day to day requests of designated non-instructional staff.
- Support the processing of all new hire paperwork.
- Lead orientation for new hires.
- Address performance for designated non-instructional staff with the Principal, if required.
SKILLS & EDUCATION:
- Bachelor’s Degree in Business Administration or other related post-secondary 2-3 years of experience.
- Demonstrated ability to compose correspondence and prepare reports or related practices and procedures
- Demonstrates persistence in overcoming and removing obstacles to achieve goals.
- Demonstrates a drive, commitment and sense of urgency that inspires others to achieve results.
- Implements and monitors relevant work procedures in line with defined standards.
- Proactively approaches others with a view to engage in dialogue and build strong working relationships.

- Requests input from others to work towards a more effective outcome.
SCHEDULE
- 40 hours/week
- Monday through Friday, 8:30 AM – 4:30 PM (with flexibility depending on evening meetings/events)
- Attend all Staff, Professional Development meetings and retreats
- Evenings and weekends as required due to activities, meetings, or events
