Full-time Office Administrator

Guelph Community Christian School (GCCS) is seeking a self motivated, detail-oriented, and qualified Office Administrator. GCCS is located in Guelph, Ontario.  The school serves over 200 students from Preschool – Grade 8.  Our mission is to, “Nurture, Educate, and Inspire in Christ-centred Learning and Serving.”  The school strives to meet its mission in everything we do and is always looking for new opportunities to grow and challenge our students.  The role of the Office Administrator is to assist the Principal in the day-to-day operations of GCCS.  This person will also be the first contact for GCCS via email, phone, and face-to-face.  Applicants should have excellent people skills as well as be efficient in computer skills including Google Docs, Google Drive, Word, Excel, and social media.  This is a full-time position.  A full job description follows.

In This Role You Will:

The person in this position would be, under the direction of the Principal, responsible for:

 

GCCS Client Services:

  • Managing the Admissions process (taking phone calls, inquiries, setting up school tours with the Principal, preparing tour packages, tracking enrollment, confirming enrollment, etc.)
  • Answering all in-coming calls
  • Answering all emails and/or forwarding them to the correct recipient  
  • All receptionist duties
  • Assisting Clients with the use of the School Information System
  • Managing/Collecting information
  • Inputting new families
  • Updating calendar, announcements, newsletter
  • Trouble shooting for clients
  • Scheduling parent/teacher conferences
  • Preparing Canadian Embassy documents and/or letters of acceptance, as needed for international students 
  • Collecting society income from tuition, donations, grants, etc. and any cash deposits (fundraising, school supplies, etc.) for the Financial Administrator for deposit to the bank
  • Booking and coordinating all gym rentals, piano studios, and misc. rentals
  • Primary contact to parents when children become ill during the day
  • Providing First Aid as needed (must be trained and certified)
  • Completing accident reports when children are brought to the office after an accident (broken bone, stitches, concussion, etc.)
  • Updating and posting anaphylactic, puffer,  allergy, and other critical health forms.
  • Ensuring that epi-pens in school are not expired
  • Ensuring Emergency Folders are up to date with students and facility information

 

GCCS Communications 

  • GCCS Sign (changing message)
  • School lobby display screen (changing message, photos, adding sponsors)
  • Responsible for weekly school news and communication
  • Update Parent Handbook and prepare Parent Handbooks for new parents 
  • Copying and distributing GCCS Membership Meeting packages

 

School Reports 

  • Responsible for all ONSIS Reports On-line
  • Responsible for all Independent School Reports 
  • Collecting immunization updates and submitting report to Public Health
  • Responsible for all aspects of OSR’s (Ontario Student Records)

 

Principal Support 

  • Policy and procedure updates
  • Editing and document review
  • Other tasks as needed or directed by the Principal

 

Inventory and Supplies 

  • Maintaining an up-to-date inventory of school supplies
  • Ordering all school related supplies
  • Stocking First Aid kits and First Aid cupboard

 

Staff Support 

  • Tracking all staff out of the building (vacation, personal days, compassionate leave, class trips, professional development, etc.)
  • Tracking all supply teachers’ pay and submitting to Finance at the end of each pay period
  • Coordinating after-school supervision (ensuring the After School Care Supervisor knows of any changes for each day)
  • Providing support for all GCCS committees and sub-committees
  • Prepare report card envelopes
  • Booking class trips and busing
  • Responsible for tracking all Police Record Checks and ensuring all staff and volunteers have current Police Record Check information on file. 
  • Coordinating/tracking first aid training for all staff
  • Arranging aspects of graduation as determined by senior teachers and administration
  • Assist Data Manager with various aspects of School Information System implementation
  • Creation of Google forms for a variety of purposes such as medical forms, class trip forms, walk-a-thon sponsor forms, etc. 

 

Other Duties 

  • Opening and distributing all mail
  • Coordinating Picture Day and Grad photos with Edge Imaging 
  • Updating student supply list each year
  • Coordinating renewal packages
  • Responsible for GCCS mailings throughout the year
  • Checking mail and messages over Summer, Christmas holidays and March Break
  • Maintaining the GCCS phone system including voice mail, call forwarding, etc.
  • Other tasks as needed or directed by the Principal
  • Attending professional development and/or training sessions as needed 
  • Assist with ticketing for special GCCS events and concerts

Hours:

  • This is a full time, ongoing 12-month, position.  
  • School Year: Hours – 8:00 am to 4:30 pm (15 minute morning break – paid and 30 minute lunch break – unpaid) School Year hours end one week after the last day of school. 
  • Summer Hours for July and Early August: Hours – 8:30 am to 12:00 pm (15 minute morning break – paid) Two days per week - preferably Tuesday and Thursday
  • Summer Hours for Last 3 Weeks: Hours-  8:00 am to 4:30 pm (15 minute morning break – paid and 30 minute lunch break – unpaid)
  • Vacation includes: Christmas Break, March Break, Statutory holidays, and two full weeks during the summer break

Salary:

  • Salary is based on the Edvance-Vocate Office Personnel Salary Guidelines
