About the Role

Reporting to the Treasurer, the Financial Administrator plays a vital role in stewarding the financial health and growth of the school. This position oversees all aspects of bookkeeping, tuition and donation processing, payroll and benefits, and assisting with financial reporting. The Financial Administrator will work both independently, as well as collaboratively, to provide insights that support planning, budgeting, and operational excellence.  

Responsibilities

  • Manage day-to-day financial operations, including accounts payable, accounts receivable, tuition, donations, payroll, benefits, and cash flow.
  • Maintain and improve documentation for financial processes and procedures; support onboarding of new financial platforms as needed.
  • Communicate with families as required to ensure tuition is remitted in a timely manner, and to provide guidance for tuition assistance inquiries
  • Oversee all payroll functions, including:
    • Processing of payroll accurately and on time
    • Managing employee benefits, pension contributions, and entitlements
    • Preparing and submitting ROE’s
    • Provide support for staff regarding compensation, benefits, and other payroll related inquiries
    • Support new staff onboarding by setting up payroll, benefits, and financial records
    • Collaborate with administration on employment contracts, salary grids, and compensation updates
    • Ensuring compliance with employment standards and CRA regulations
  • Respond to inquiries relating to class trip budgets, committee budgets, reimbursements, and classroom fundraising activities.
  • Collaborate with the leadership team on budgeting, forecasting and financial planning.
  • Assist Finance Director with preparation of financial reports and other analysis tools for the Board and leadership team
  • Coordinate with external financial entities (e.g. banks, Christian School Foundation, etc.) as required, on behalf of the organization
  • Support the school’s overall effort to build and maintain strong relationships with donors by:
    • Ensuring gifts are received, recorded, and acknowledged in a timely manner
  • Maintaining the donor database to ensure records are current and accurate

Skills

  • Knowledge of accounting, budgeting, data management and financial reporting
  • Attention to detail with excellent analytical and problem-solving skills
  • Desire for continuous personal and professional learning and growth
  • Familiarity with the financial needs of Christian schools and registered charities is an asset
  • Ability to work independently and collaboratively
  • Superior communication skills, both written and verbal
  • Proficiency in in QuickBooks Online, Microsoft Office, and other related software

Education

  • Degree/Diploma in Accounting or related field (or equivalent experience)

Commitments

  • As member of our team, the successful candidate agrees and lives in accordance with the foundational statements of the organization as expressed in its bylaws
  • Average of about 24 hours per week (0.6 FTE) with flexibility for seasonal demands such as fiscal year-end, audit season, and school start-up.
  • Required schedule: 3 days per week, with an option to work up to 1 day remotely
  • Attendance at monthly Finance Committee meetings (outside of regular hours)

  • Salary: $40,000 annually (based on 0.6 FTE)
