The Coalition of Associations of Independent Schools in Ontario (CAISO) is a new, not-for-profit industry association designed to unite the independent school sector to speak with one voice on issues that impact all independent schools in Ontario. Launched officially in November 2025, this new association of associations is composed of three founding independent school member organizations, with significant interest from several other diverse independent school associations.
CAISO is seeking a part-time Administrative Assistant who is professional, entrepreneurial, flexible, team-oriented and focused to help in driving forward the launch phase of this exciting new venture.
Administrative Assistant
The Administrative Assistant will be the first employee of CAISO and as such will report directly to the Executive Director, in the founding activities of this new organization. The Administrative Assistant will be responsible for a variety of different roles and responsibilities to launch and strengthen all operations. This work will require a high degree of flexibility, an ability to work adaptively with a small team and a creative mindset in the formation of many organizational structures, resources and processes.
Specific responsibilities will include, but will not be limited to:
- Serving as the first point of contact for the organization via phone, email, text, etc.
- Scheduling meetings and arranging hospitality as needed
- Creating and managing communication platforms and materials including items like website development, email distribution lists, social media management, hard copy communications etc.
- Collecting, analyzing, and interpreting statistical data, preparing reports and visuals that support decision-making and sector alignment
- Ensuring quality and accuracy of data in organizational databases
- Proofreading and formatting documents, policies, and communications
- Ongoing updated knowledge of the sector, the political environment and significant issues facing the independent school sector.
- Managing special projects and organizational initiatives as assigned
- Supporting the Board Chair/Executive Director with a variety of duties, including calendar management, correspondence, and preparation of presentations and other materials
- Preparing agendas, minutes, and reports; serving as recording secretary for the CAISO Board of Directors and other meetings as needed including follow-up items

- Administrative experience is a plus
- Excellent communication skills, both written and verbal
- High attention to detail
- Data analysis skills
- Excellent computer skills, particularly in Microsoft Word, Excel, PowerPoint, and Outlook
- Strong interpersonal skills, flexible mindset, creative problem solver
- Advanced Excel abilities, experience managing social media channels, familiarity with Canva and/or other design platforms all considered an asset
- Ability to maintain confidentiality and be self-disciplined, organized, diplomatic and discreet as required
- Ability to work independently and to set priorities in a strong working relationship with the Board Chair/Executive Director and other stakeholders
Commitments
- This person agrees with and lives in accordance with the foundational principles of the organization (available on request).
- This is a part-time position in the range of 40%-60%, or 2-3 days per week. There is a possibility of significant change to the role as the new organization grows and matures. A flexible and creative mindset is a must.
- A significant portion of this role will be done virtually, with an in-person portion of the role in Burlington required on at least a weekly basis. The schedule, location and regular working hours of the role will be discussed as a part of the interview process.
- Compensation will be commensurate with the qualifications and experience of the successful applicant and will be discussed as a part of the interview process.
- The start date for the new role is April 1, 2026.
