Financial Assistant (Immediate Need) – Part-Time

Immanuel Christian School is seeking a detail-oriented and reliable Financial Assistant to support our Finance Office during an important period of transition, with the potential for an ongoing partnership.
This role plays a key part in ensuring our financial systems are accurate, organized, and easy to understand as we serve a growing school community of approximately 245 students.
Start Date: As soon as possible
Schedule: ~15 hours per week (in-person)
Term: Through June (with potential extension)
Compensation: Based on experience
About the Role
You will support the day-to-day financial operations of the school using QuickBooks Online, helping ensure clean records, accurate billing, and clear reporting. This is an ideal opportunity for someone who enjoys bringing order to systems, improving processes, and contributing to a mission-driven organization.
Key Responsibilities
Financial Operations
- Manage transactions in QuickBooks Online
- Process accounts receivable (tuition, childcare, and other fees)
- Apply payments accurately, including credits and partial payments
- Reconcile bank and credit card transactions
Invoicing & Records
- Create and manage invoices for school services
- Maintain accurate records to support reporting and receipting
- Ensure financial data is organized and audit-ready
Reporting & Support
- Generate reports and flag discrepancies or trends
- Exercise excellence in communication
- Support the Business Manager and Bookkeeper with financial insights
Process Improvement
- Identify inefficiencies and recommend improvements
- Help standardize workflows and clean up historical data
- Strengthen overall financial systems and record-keeping practices
Qualifications
Required
- Strong experience with QuickBooks Online
- Background in invoicing, accounts receivable, and reconciliation
- Excellent attention to detail and accuracy
- Strong communication and organizational skills
- Ability to work independently and manage time effectively
- A person of strong Christian character, integrity, and a heart for service
Assets
- Experience in a school or non-profit environment
- Formal accounting training or equivalent experience
- Experience improving financial processes and systems
- Experience or familiarity with donation receipting following CRA guidelines for non-profits
This position is structured as an independent contractor role. The successful candidate will operate as self-employed and be responsible for their own taxes and tools, in accordance with CRA guidelines, including:
- Operating as a self-employed individual or registered business
- Providing their own tools/resources where applicable
- Managing their own tax obligations (including income tax, CPP, etc.)
